Terms and Conditions

Please read these terms and conditions carefully before making a reservation at Seahorse Hotel & Spa. By completing a booking, you agree to be bound by these terms.

Identification

A valid government-issued photo identification document must be presented by all guests upon arrival and check-in at the hotel.

Service Charge

The above-mentioned rates are inclusive of all applicable service charges unless otherwise stated.

Early Check-in & Late Check-out

Requests for early check-in are subject to room availability and cannot be guaranteed unless the room is reserved for the night prior to arrival, which will incur an additional night's accommodation charge.

Requests for late check-out are also subject to availability on the day of departure. However, late check-out can be guaranteed if arranged in advance through Seahorse Hotel Reservations and may be subject to an additional fee.

Child Policy

  • Children under 2 years of age stay free of charge.
  • Children aged 6 years to 11.9 years will be charged at 50% of the applicable rate.
  • Children aged 12 years and above will be charged the full adult rate.

To help protect yourself from fraudulent activity:

  • Be cautious of emails, messages, or phone calls that create a sense of urgency or pressure you to make immediate payments.

Seahorse Hotel shall not be responsible for any losses, damages, or liabilities arising from payments or information provided to unauthorized third parties claiming to represent the hotel.

Local Currency Payment Policy

In accordance with the Central Bank of Sri Lanka Act No. 16 of 2023 and any applicable regulations issued thereunder, all payments made by residents of Sri Lanka shall be collected in Sri Lankan Rupees (LKR).

Where accommodation rates, services, or bookings are quoted in a foreign currency, the payable amount in Sri Lankan Rupees shall be calculated using the applicable exchange rate determined by the hotel based on the prevailing Central Bank of Sri Lanka exchange rate on the date of payment, subject to any applicable banking or payment processing requirements.

Seahorse Hotel reserves the right to apply the relevant exchange rate in accordance with applicable laws, regulations, and banking practices in force at the time of payment.

Events Terms and Conditions

Function Space Availability

Guest rooms and function spaces are currently available. However, no space has been reserved until written confirmation is received from you requesting us to do so.

Should you wish to tentatively reserve the required space, kindly notify us at your earliest convenience. Please note that all reservations are subject to availability and will be allocated on a first-come, first-served basis.

Pre-Setup Access

Early access for event setup is subject to the availability of the function room or event space. Additional venue rental charges may apply for early access or extended setup periods.

Sound Control

The use of sound systems and public announcements is not permitted in hotel foyers or other public areas.

All event-related music and sound systems must be maintained at a reasonable volume level to ensure the comfort and enjoyment of all hotel guests. Should the sound exceed acceptable levels, the hotel reserves the right to reduce the volume or require adjustments.

In outdoor garden areas, loud amplified music is not permitted. Live bands and entertainment may operate only until 10:30 p.m. (2230 hours), unless otherwise approved by management.

Food & Beverage Policy

For health, safety, and licensing reasons, only food and beverages prepared, supplied, and served by the hotel may be consumed on the hotel premises, unless prior written approval has been granted by management.

Food and beverages remaining after an event may not be removed from the hotel premises unless expressly authorized by the hotel.

Disclaimer

The hotel shall not be responsible for any loss, theft, damage, or destruction of personal belongings, equipment, decorations, displays, or other property brought onto the hotel premises by guests, organizers, contractors, or third parties.

Guests and event organizers are encouraged to make appropriate arrangements for the safekeeping and insurance of their property.

Damages

The event organizer shall be financially responsible for any loss or damage caused to hotel property, fixtures, fittings, equipment, furnishings, or facilities arising from the event.

Promotional materials, banners, signage, decorations, or displays shall not be affixed to walls, columns, floors, ceilings, furniture, or any other part of the hotel premises by means of nails, screws, staples, adhesives, tape, or similar materials without prior written approval from hotel management.

Where permission is granted, the organizer shall be responsible for the complete removal of all materials and for restoring the affected areas to their original condition. Any repair, cleaning, replacement, or restoration costs incurred by the hotel shall be charged to the organizer.

Force Majeure (Impossibility of Performance)

Neither party shall be liable for any failure or delay in performing its obligations under this agreement where such failure or delay is caused by circumstances beyond its reasonable control.

Such circumstances include, but are not limited to:

  • Acts of God;
  • Natural disasters, including floods, earthquakes, storms, or fires;
  • Government regulations, restrictions, directives, or orders;
  • Epidemics, pandemics, or public health emergencies;
  • War, terrorism, civil unrest, riots, or national emergencies;
  • Explosions or major accidents;
  • Strikes, lockouts, labour disputes, or work stoppages;
  • Utility failures or disruptions to essential services;
  • Legal seizure, arrest, or government action affecting the hotel;
  • Sale, closure, renovation, or reconstruction of the hotel; or
  • Any other event that makes it illegal, impractical, inadvisable, or impossible for the hotel to provide the agreed facilities or services.

In such circumstances, either party may terminate this agreement without liability, provided that reasonable notice is given whenever possible.
